TV Foundation Privacy Policy

Introduction

This Privacy Policy, effective as of 25th May 2023, is intended to make clear what sorts of data we (The Edinburgh Television Festival Ltd, or “The TV Festival”) collect from you, what we do with it, and how our users (“you”) can control what happens to it.

This policy relates specifically to The TV Foundation’s programmes and awards the New Voice Awards, New Writers Collective, The Network, TV PhD and Ones to Watch – and other initiatives as run by this department. Voluntarily Supplied Information

  • Information that you provide to us for the purpose of subscribing to our website services, email notifications and/or newsletters

While you visit our site, we’ll track:

What We Do with the Information We Collect

Personal information submitted to us via this website and our registration system will be used for the purposes specified in this privacy policy or in relevant parts of the website.

  • Enable your use of the services available on the website
  • Send you email notifications which you have specifically requested
  • Send to you marketing communications relating to our programmes or opportunities which we think may be of interest to you where you have specifically agreed to this, by email or similar technology (you can inform us at any time if you no longer require marketing communications)
  • Deal with enquiries made by or about you relating to our programmes

We will not provide your personal information to any third parties for the purpose of direct marketing. We do not share any information received from our users with any other organisations or individuals except for secure third parties who help us provide our services to you. These providers are listed below.

Data relating to applications may be shared with external organisations for monitoring purposes.

Mailing List

As part of the application process for our programmes, we collect personal information about you, including your email address. We use that information for a couple of reasons: to tell you about things you’ve asked us to tell you about (assessment days, interviews, alumni offers, job vacancies, etc); to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organisations and businesses.

We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails

Application Forms

We collect and store applications for our Talent Schemes through Airtable. You can find Airtable’s privacy policy here.

Delegate Registration

If you are successful in gaining a place on any of our Talent Schemes, you will be asked to register for a festival delegate pass.Joyn processes our festival delegate registration and networking. You can find Joyn’s privacy policy here.

For events outside of Edinburgh, we may use other ticketing platforms, such as TicketSource. You can find TicketSource’s policy here.

Awards Submissions

We collect and store your awards submission information through Airtable. You can find Airtable’s privacy policy here.

GDPR

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information is Consent.

By providing your personal details during a purchase, you are consenting for us to process your personal data for the sole purpose of processing your requests. You are not consenting for your details to be used for any other purpose, or shared with another individual or organisation.

What Rights You Have Over Your Data

You can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You may instruct us to provide you with any personal information we hold about you. Provision of such information will be subject to the supply of appropriate evidence of your identity.

You may instruct us not to process your personal information for marketing purposes by email at any time. In practice, you will usually either expressly agree in advance to our use of your personal information for marketing purposes, or we will provide you with an opportunity to opt-out of the use of your personal information for marketing purposes.

  • Your right to data portability – you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances
